This Privacy Policy explains how Dublin Darts Club (DDC) collects, uses, and protects personal data when you visit our website, register a child with the club, or get in touch with us. Because we work with young people, we take particular care with the information we handle. This policy is in line with the EU General Data Protection Regulation (GDPR), the Irish Data Protection Act 2018, and the standards set out in Children First: National Guidance for the Protection and Welfare of Children.
01 Who We Are

Dublin Darts Club is a youth darts club based at Good Counsel Liffey Gaels GAA, Davitt Road, Drimnagh, Dublin 12. We provide structured coaching, competitive matchplay, and a pathway to county-level darts for young players.

We are the data controller responsible for the personal information collected through our website, our registration form, and our day-to-day club activities.

02 What Information We Collect

When a child registers with the club, we collect the following information through our online registration form:

  • Player details: name, date of birth, and gender.
  • Parent or guardian details: name, email address, postal address, and contact number.
  • Medical information: details of any allergies, medical conditions, or relevant health information the club needs to be aware of in order to keep your child safe.
  • Consent records: your responses to the photo and video, first aid, fundraising, and player awareness sections of the registration form, and your digital signature.
  • Pickup and travel arrangements: whether your child is permitted to leave the club premises alone or with friends.

From the website itself, we also collect:

  • Enquiry details if you submit our contact form or email us directly.
  • Technical information collected automatically through cookies, such as your IP address and browser type. See our Cookie Policy for more details.
03 How We Collect Information

We collect personal information in the following ways:

  • When a parent or guardian completes the registration form on our website.
  • When you submit the contact form or email us directly.
  • When you message us through WhatsApp or social media.
  • When parents, guardians, or players speak with coaches or officials at the club in person.
  • Automatically through cookies when you visit our website.
04 Why We Use Your Information

We use the personal information you provide for the following purposes:

  • To register your child as a member of Dublin Darts Club.
  • To run training sessions, matches, fundraising activities, and club events safely.
  • To contact parents and guardians about training schedules, match information, fixtures, and club updates.
  • To provide appropriate first aid or emergency response if needed, based on the medical information you have shared with us.
  • To register players with the Irish National Darts Organisation (INDO) and enter them into leagues, tournaments, and county-level competitions.
  • To manage subscriptions and club fees.
  • To promote the club through photos and videos, but only where you have specifically agreed to this on the registration form.
  • To meet our obligations under child safeguarding legislation and best practice.

Under GDPR, we rely on the following legal bases to process your data:

  • Consent — for photo and video use, marketing communications, and any other use of data where you have explicitly opted in.
  • Contract — to deliver club membership and the services associated with it.
  • Legal obligation — to comply with child safeguarding requirements and retain records as required by law.
  • Legitimate interest — to run the club safely and communicate with parents about club activity.
05 Child Safeguarding and Special Category Data

The wellbeing of every child at Dublin Darts Club is our highest priority. We work within the standards set out in Children First: National Guidance for the Protection and Welfare of Children, and we apply additional safeguards when handling information about young people.

All parents and guardians provide written consent on our registration form before any data about a child is collected or processed. The medical information you share with us is treated as special category data under GDPR. We only use it to keep your child safe, only share it with coaches and officials who need to know, and we never use it for any other purpose.

Designated Liaison Person Dublin Darts Club's Designated Liaison Person (DLP) is Ross O'Brien, who also serves as club manager. Ross is responsible for child safeguarding matters, including any concerns about how a child's personal information is handled. The DLP can be contacted via dublindartsclub@gmail.com.

All coaches and volunteers who interact with young people at Dublin Darts Club are Garda vetted in line with the National Vetting Bureau (Children and Vulnerable Persons) Acts 2012 to 2016.

06 Photos and Videos of Players

Photos and videos of players may be used by Dublin Darts Club to promote the club, celebrate achievements, and document club activities. We use them on our website, TikTok, Instagram, and Facebook.

We will only use a photo or video of your child if you have specifically ticked "I Agree" on the photo and video consent question on the registration form. If you ticked "I Don't Agree", we will not use any image of your child for promotional purposes.

You can change your mind about photo and video consent at any time by emailing dublindartsclub@gmail.com. If you withdraw consent, we will remove any images of your child from our website and social media as soon as reasonably possible. Please note that historic posts already published or shared may take longer to remove, and images cached or saved by others outside our control cannot always be retrieved.

We do not tag children's personal social media accounts.

07 Tools and Third Parties

We use a small number of trusted third-party tools to run the club. Each operates under its own privacy policy. We do not sell your data or your child's data to any third party.

  • Irish National Darts Organisation (INDO). The governing body for darts in Ireland. We share necessary player information with INDO for league and tournament registration.
08 How Long We Keep Your Data

We only keep personal data for as long as we need it to run the club safely and meet our legal obligations.

  • Active members: we keep registration and contact information for as long as your child is a member of the club.
  • Former members: after a child leaves the club, we delete or securely archive registration information within a reasonable period, except where we are required to retain records for safeguarding or legal reasons.
  • Financial records: subscription and fee records are kept for 7 years for accounting and tax purposes.
  • Safeguarding records: where required by law or best practice, certain safeguarding-related records may be retained for longer.
  • Photos and videos: images used on the website and social media may remain online unless you ask us to remove them. We will remove them as soon as reasonably possible following a request.

09 International Data Transfers

Some of the third-party tools we use are based outside the European Union, including in the United States. When data is transferred to these providers, we rely on safeguards approved by the European Commission, such as Standard Contractual Clauses and adequacy decisions where applicable.

These transfers are necessary to run the club and communicate with parents. We choose providers who have clear data protection commitments and recognised certifications.

10 Your Rights Under GDPR

As a person based in Ireland or the EU, you have the following rights regarding your personal data, and the personal data of your child:

  • Right of access — you can request a copy of the personal data we hold about you or your child.
  • Right to rectification — you can ask us to correct inaccurate or incomplete data.
  • Right to erasure — you can ask us to delete data in certain circumstances.
  • Right to restrict processing — you can ask us to limit how we use the data.
  • Right to data portability — you can ask for a copy of your data in a machine-readable format.

  • Right to withdraw consent — where we rely on consent (such as photo and video use), you can withdraw it at any time.

11 How We Protect Your Data

We take the security of your data and your child's data seriously. We use industry-standard measures to protect it from unauthorised access, accidental loss, alteration, or disclosure.

This includes encrypted website connections (HTTPS), secure email services, strong password practices, two-factor authentication on key accounts, and limited access to personal information on a need-to-know basis. Medical and safeguarding information is only shared with coaches and officials who require it to do their job safely.

While we do everything we reasonably can to protect your data, no system on the internet is completely secure. If you believe data has been compromised, please contact us immediately at dublindartsclub@gmail.com.

We may update this policy from time to time to reflect changes in our services, legal requirements, or how we use technology. When we do, we will revise the date at the top of this page.
